The above is displayed if other sales orders exist for this customer. This is to avoid entering a duplicate order if say another person has already entered the customer order details.

Customer No:

Best to type the customer number in here but you can also type part or all of the name. If the customer isn’t set up as a debtor there number will not work here. You will need to use cash sale account.

 

Given By:

Who is placing the order.

 

Department:

Is it a department of a larger organization. I.e. the works department.

 

Their Order No:

Should be on PO, if not put in some ones name or similar. It will tell you if the order number has been used before. In most cases this is ok. I.e. “Verbal” has been used before.

 

Invoice Date (Next Month):

Enter a date if this order is to be delivered this month but invoice next month. Give the customer another month of credit for this order.

 

Advanced Order:

If someone is giving you a forward order for some product but doesn’t require it all now or wants it in part deliveries

 

Incomplete order:

Tick this box to temporarily save this order enabling you to process another order and recall this order at a later date/time. This is useful at the end of the day and a large order is partially complete. You will advised for any exiting incomplete order after entering the customer number.

Raise Order Form Quote No:

You can raise a sales order from a stock quote. This will take all of the information from the stock quote and input it into the sales order. You must check that only materials that the customer wishes to buy is on the stock quote itself, this also applies to freight.

If the lead time of an item is Zero (not a blank) then the ship qty will be equal to the order qty independent of qty available,

 

Close Quote After Raising Order:

Tick this box after selecting a quote no. Then the sales quote will be closed after raising the sales order.

Ship to Id:

If the correct delivery address isn’t shown in the window, select the drop down menu for extra delivery address. If the required delivery address isn’t found, close the drop down list and OI will ask if you wish to add a new delivery address. Select yes to add.

 

From Warehouse:

This is always warehouse 1 and should be changed if the good are to come from another warehouse. If this isn’t done now you will have to restart the whole sales order.

Part No:

Enter the item number here. You can also enter part of the product description. ie 48kg for 48kg glass wool.

If the item has no selling price (Inventory pricing) then:

Enter the selling price (Warehouse Pricing)  for this item.

 

Description:

Enter any changes in the description if required, otherwise use the default description.

If there is alternate packaging in the inventory file then a popup will be displayed for selection.

 

Pack Rate:

This is the packaging rate as per inventory master file

 

Lead time:

This is the lead time as per warehouse details file.

 

Available:

How much do we have. If PBC shows no stock and we think we have stock, check the warehouse number.

 

Pkg Order Qty:

If the Sell uofm is a packaging Rate then enter the pack rate qty. This is disabled if the sell uofm is the standard uofm.

 

Sell Order Qty:

How much the customer wants.

 

Ship Qty:

Should be the same as the sell Qty providing we have enough stock. You can over ride this and make the system go into negative stock. Not normal but there can be times where a PO hasn’t been received but the stock is physical in the warehouse.

 

Back Order:

This is Automatically filled in if the order qty is greater than the ship qty.

 

Unit Price:

 

 

Discount:

Filled in from the customer discount data or enter the discount manually.

Press so9to display other customer discounts for this item.

 

 

Sell Price:

Enter the selling price if not already entered.

If you are not authorised to sell below the minimum markup then see management for further details.
